Welcome to the Team 691 Support Site.
What it's for
Team 691 issues corporate cards (via US Bank) to members who regularly make purchases on the team's behalf, so they don't have to front costs out of pocket and wait for reimbursement.
How to get one
Coaches are automatically issued a card.
Any mentor can request one — submit a Support Request to start the process.
Card approvals are handled by the Head Coach (currently Aaron Dolgin).
Processing takes about 30 days from request to issuance.
Once issued:
You'll be issued a team email address, which your card is tied to on the US Bank account.
You'll be added to the team's Amazon Prime account.
Before use, you'll be asked to sign a Team Card Agreement and a Technology Use Agreement (the latter applies to anyone issued a team email address). Both are submitted and signed through RoboNet.
What you can use it for
Card purchases must be for team-related expenses only, and must be logged in the team's procurement doc.
Spending limit
Each card has a default credit limit of $2,000/month.
Billing
Billing address on file: the team's mailing address
If you accidentally use your card for a personal expense: log in to the US Bank site and pay off that specific transaction before the end of the billing cycle.
Audits
Card transactions are subject to random, regular audits — keep receipts and make sure every purchase is logged in the procurement doc so it can be matched during review.
Receipts
Receipts need to end up in a central place — not left sitting in your personal or team email. After every purchase, do one of the following:
Email the receipt to both finance@team691.org and team691+expenses@assist.intuit.com (attach it directly or forward the receipt email), or
Post it in the Slack #email_finance channel.
Either option keeps a central record and lets the team's finance software automatically ingest it. (See also: Purchasing.)
Lost or stolen card / fraud
Contact the Head Coach (currently Aaron Dolgin) or another coach immediately, and contact US Bank directly to report the card lost or stolen.
